How to source candidates from your team’s network: a playbook

A step-by-step playbook for recruiters to find warm candidates through the people their company already knows.

Sourcing from your team’s network is not the same as cold sourcing with a friendlier tone. It changes who you find, how you reach them, and how quickly they respond. Here is a playbook recruiters can run on any open role.

Step 1: Write the brief like a human

Skip the keyword list. Describe the person: “a backend engineer who has scaled a payments system, ideally in Austin, who has mentored juniors.” A full description captures judgment calls that filters miss and makes it easier for teammates to recognize the right person.

Step 2: Get the right teammates connected

The people who know the best candidates are usually the people who have done the job: your current engineers, sellers, and managers. Make sure they have connected their networks before you search, and tell them which roles you are working on.

Step 3: Search the combined network

Run the brief across everyone your team knows. Look beyond title matches to trajectory: where people worked, what they built, who they worked with. Save strong matches into a collection for the role so the whole hiring team can review.

Step 4: Find the warmest path in

  • Prefer teammates who worked directly with the candidate over loose connections.
  • Recent and frequent contact beats an old, one-time interaction.
  • If two teammates know the candidate, ask the one who can speak to the work.

Step 5: Ask for the intro, not the hire

Make it easy for your teammate. Send a two-line note they can forward: what the role is, why this person came to mind, and a low-pressure ask for a short conversation. Candidates respond very differently to a familiar name than to a stranger.

Step 6: Keep your collections warm

Not every great candidate is ready to move today. Keep a collection for each role, note who connects you to each person, and revisit them when the next similar role opens. Your network compounds over time, as long as you do not let it go cold.

SocialSweep supports every step of this playbook: plain-language search across your team’s networks, collections by role, visibility into who knows whom, and outreach drafted in your voice. We onboard your organization so your recruiters can run it across your whole team’s network.
